SHS is made up of three divisions: Preschool & Kindergarten, Lower & Middle Schools (grades first through eighth) and Preparatory (grades nine through 12).

The role of the Prep Student Life Office Coordinator & Attendance Manager at Sacred Heart Schools, Atherton (SHS) is an exceptional entry-level opportunity to grow your career as a respected essential staff member of one of the Bay Area's premier independent Catholic schools. This full-time position enjoys an 11-month schedule of duties effective immediately.

Essential Duties include but are not limited to:
  • Performs administrative assignments with minimal direction anticipating and addressing needs of the Student Life Team
  • Supports the Dean of Students and Asst. Principal, Student Life regarding student concerns; student ID cards and app, student facebooks, locker assignments, parking assignments, student life assembly seating, attendance thresholds, issues infractions, prepares detention schedule.
  • Provides clerical and administrative support to Dean of Students and Asst. Principal, Student Life
  • Coordinates off campus events: field trip rosters, academic events, retreats and service trips, athletic early dismissal, approval and calendaring process
  • Coordinates, prepares, and sends discipline referral notices and discipline completion notices
  • Manages attendance and discipline records in Hero / Blackbaud and reconciles data as needed
  • Coordinates and schedules meetings, meeting rooms and required equipment for meetings
  • Answers incoming telephone calls, as needed; answers questions, resolves issues, takes messages, forwards calls to the appropriate party
  • Serves as key operator on division copiers and other equipment; troubleshoots minor jams/problems and arranges for service as needed; maintains service logs
  • Contributes positively to community morale; maintains a positive, pleasant demeanor to all constituencies; provides positive encouragement to students

Required knowledge, skills, abilities and experience include but are not limited to:
  • High School degree required, Bachelors degree preferred and minimum of three years of experience in a similar position
  • Must provide a clean and valid CA driver's license; occasionally required to drive school vehicles
  • Strong “people” skills and high level of emotional intelligence resulting in proven ability to manage complicated relationships and maintain appropriate confidentiality while providing excellent customer service
  • Ability to ascertain which people may need immediate assistance and to act accordingly
  • Strong writing/editing skills and demonstrated excellent computer skills including but not limited to word processing, spreadsheet, PowerPoint (both design & editing with all functions), internet and technology functions. Experience using basic office equipment including fully operating and troubleshooting multi-function copiers
  • Demonstrated excellent attendance and punctuality
  • Ability to communicate effectively in English with all constituents in a school environment while exhibiting extreme diplomacy. Additional ability in Spanish strongly preferred.
